Privacy statement

This privacy statement applies to the West Brunswick Tennis Club Inc.

Introduction

The Committee of Management recognises that privacy and security of personal information is important to all Club members. We respect the confidentiality and security of your personal information and we are committed to protecting it at all times. Whether or not the Club is legally bound as a “body corporate” under the Privacy Act, the Committee has determined to observe the Act and its ten National Privacy Principles.

Collection of your personal information from you

The West Brunswick Tennis Club Inc. only collects such personal information as is necessary to manage your membership, social and tennis activities, to comply with the Associations Incorporation Act and to communicate with you about Club matters generally.

By completing your membership application or renewal form you consent to such use and disclosure of your personal information as is outlined in this privacy statement.

The Club maintains a database of members’ personal information and retains the application or renewal forms you send to us. This information is filed, kept confidential and secure by members of the Committee. It incorporates a Register of Members available for inspection as required by law, but only to the extent legally required (name, address, date of joining).

Use and Disclosure of your personal information

In managing your membership, there may be occasions where we need to disclose your personal information to:

(i) Affiliated or associated sporting institutions such as Tennis Victoria

(ii) Other organisations such as:

  • Government authorities, eg Moreland City Council (as lessor of the property);
  • Authorised organisations or persons providing confidential mailing services (eg newsletters), maintenance of any information technology systems used by us, printing of our standard documents and correspondence, or similar services; and
  • Our lawyers, accountants, auditors, other consultants, advisers and insurers.

(iii) Third Parties

Personal information will only be disclosed to third parties when you authorise us to do so. You may amend or withdraw your authority at any time.

We only disclose personal information to such organisations or persons in aggregate or for specific management purposes. We do not disclose information for marketing or any other purpose not related to the management and ordinary activities of the Club.

Access to your personal information

You may request access to the personal information that we hold about you by writing to the Committee directly at the Club or at PO Box 72, West Brunswick, VIC, 3055. You also have the right to have your records amended. Requests for access to or amendment of your personal information may only be made by you personally.

This privacy statement may be updated from time to time, as required by law or as the Committee determines for good management. We welcome any member comments.
